You can use Google Sites as a simple CRM.
- Set up a google site with a list page that stores all your leads.
- Set up another list page that stores all your leads that have been quoted.
- Set up another list page that has all of your customers (people who bought your product or service.)
- For each opporotunity/customer on each list page, Create an announcements page to hold historical information.
- link each announcement page to each opporotunity/customer row in your three list pages. Make sure you have a URL column in your lists to do this. Linking to announcement pages from a list item is 3 clicks this way.
- Get someone who can program in javascript to write and attach scripts to each of your list pages that move items from one list to the next based on their status: Lead, quoted, account.
- Make sure your sales staff are using the site and regularly updating the announcement pages with their sales activity for each opporotunity/customer. They just need to post their interactions with customers in their history (announcements page) and change their status when needed.
- Use Quote templates in google docs to create quotes and print them to PDFs. Upload them on announcement pages.
- Rename quotes as orders if a sale is made and upload them too.
- If someone wants to be informed of all sales activity, have them subscribe to the site. They will get a stream of emails informing them of all announcemnts and quotes, orders etc.
- Individual sales people can subscribe to the announcement pages for their own opportunities or customers.
If anyone takes a call from one of their customers and posts the details on their history/announcement page, they will get an email and be informed.
The site can be further customized through Google Apps Script to notify other parts of your business like shipping or billing based on list changes or updated calendars if you choose to integrate one for scheduling purposes.
